        HIPAA Compliance Software FAQs

Does HIPAA compliance software guarantee compliance with HIPAA?

Although HIPAA compliance software can help identify gaps– and ways to remediate them –compliance is dependent on more than just technology. Organizations must conduct effective training, workforce monitoring, and internal audits, and enforce policies, procedures, and standards through well-publicized disciplinary guidelines. In addition, organizations must respond promptly to HIPAA violations and undertake corrective action to be HIPAA compliant.

How long will I need to use HIPAA compliance software for?

Due to frequently changing operational and environmental challenges, HIPAA compliance is not a “point-in-time” event. In addition, there are many ongoing tasks that can be simplified when you use HIPAA compliance software. For example, Covered Entities and Business Associates are required to conduct periodic audits and evaluations, maintain a security and awareness training program, and review Business Associate Agreements as necessary.

How can off-the-shelf software train employees on inhouse policies?

HIPAA compliance software has built-in policy and procedure templates that can be customized to the unique needs of each business. Thereafter, employee training programs are created based on the unique policies and procedures to comply with the HIPAA training requirements. The software also has built-in reporting that tracks each employee´s training, as well as employee attestation to the training they receive, and the completion date of each training program.

Are there different types of HIPAA compliance software for different types of organization?

Generally, it is better for organizations to implement customizable compliance software that can be configured to meet the organization´s requirements rather than (for example) compliance software for dentists. This is because business practices change and organizations merge, and it could be the case that a practice-specific software solution may lack the flexibility, adaptability, and scalability to meet an organization´s revised requirements.

Why might I need a compliance coach if I am tech-savvy?

HIPAA is an exceptionally complex piece of legislation, and although you may be at home with the software, you may need assistance navigating certain elements of HIPAA compliance from time to time. It is not necessary to take advantage of a compliance coach at all times, but you may be grateful of a little extra help when it comes to areas such as training support, audit support, and incident management.
